The various departments of the National Stock Exchange of India (NSE) constantly need to share information and business specific data amongst themselves. In order to achieve this, each department uses its own mode of information exchange. Some departments use Emails, Shared Disc Drives etc, whereas a few other teams have their own intranet websites, that are need to be constantly updated by the IT department due to changing business needs.

Processes that are common to the entire organization viz. Leave Approval, Travel Booking, Stationery Requests, CRM etc, are implemented using legacy applications such as IBM Lotus Notes, Talisma etc.

Challenges

Following were the key challenges NSE faced with the existing approach

  • Information was not centralized; hence historical data was not readily available when required.

  • Access to information was not controlled.

  • Legacy applications such as IBM Lotus Notes became difficult to maintain due to limited skill-set available in the market and a high turn-around time for implementing changes in the application.

Solution

Teams at NSE.IT and NSE consulted Microsoft and jointly came up with the solution of developing an Intranet Portal for the organization using Microsoft SharePoint 2013 due to the following features that it offers:

  • Integrates seamlessly with all Microsoft products viz MS-Office, Exchange Server etc.

  • Fastens development time with a small development team since most of the common functionality comes out-of-the-box with SharePoint.

  • Supports all major browsers.

  • The architecture facilitates scalability of the application without much effort.

  • Reduces (and in some cases eliminates) dependency on the IT team for changes in the application based on changing business needs.

During the project initiation phase technical and business representatives of NSE and NSE.IT met and discussed the various issues face by each department pertaining to the ways in which they were carrying out their day to day activities that required a great deal of information exchange and dissemination. The solution, of developing an Intranet Portal for the organization was put forward by the NSE.IT team which was accepted by the business teams.

Methodology

One of the reasons for the successful implementation of the project was that the business users were constantly consulted and briefed about the progress of the project. Business users had access to the development portal, which made it very easy for both the development and the business users to pin-point areas that weren’t as per expectations and incorporate changes in the nick of time. This in turn led to the speedy completion of the project and reduced effort.

Summary
